Job Overview
We are seeking an experienced and dedicated Practice Administrator to oversee the daily operations of our medical practice. The ideal candidate will be a highly organized leader with a solid background in healthcare administration. The candidate will ensure the smooth running of the practice, manage financial operations, oversee staff, and enhance the overall patient experience. This role requires excellent communication skills, a proactive approach to problem-solving, and a commitment to quality patient care.
Key Responsibilities
Office Operations Management Oversee daily administrative operations, ensuring an efficient, patient-centered environment. Implement office policies and procedures to maintain compliance with healthcare regulations and best practices. Coordinate and manage practice schedules, appointments, and workflow to optimize patient care. Financial Oversight Prepare, monitor, and manage the practice’s budget, including revenue and expenses. Ensure accurate billing and coding processes, overseeing outsourced revenue cycle management, collections, and patient accounts. Analyze financial data and reports to track performance and identify cost-saving opportunities. Hold regular meetings with practice owner to discuss issues and projects. Staff Management and Development Hire, train, supervise, and evaluate office staff, promoting a collaborative and supportive work culture. Address personnel issues, including performance management, scheduling, and conflict resolution. Develop staff through regular feedback, performance reviews, and continuous training opportunities. Patient Relations Enhance the patient experience by ensuring a welcoming environment, timely service, and effective communication. Address patient inquiries and complaints, providing solutions to ensure patient satisfaction. Promote patient education and engagement initiatives to foster a positive experience and improve patient outcomes.
Compliance and Risk Management Ensure adherence to all relevant healthcare laws and regulations, including HIPAA, OSHA, and other standards. Maintain confidentiality of patient records and ensure all patient information is handled securely. Coordinate risk management and quality improvement programs, addressing issues promptly and effectively. Technology and Data Management Oversee the management of electronic health records (EHR) systems, ensuring data accuracy and security. Monitor practice software systems and coordinate with IT support for troubleshooting and updates. Utilize data analytics to improve operational efficiency and patient outcomes.
Qualifications
Education: Bachelor’s degree in healthcare administration, business administration, or a related field preferred Experience: 3-5 years of experience in medical office administration or healthcare management, with experience in a supervisory role. Skills: Strong leadership and team-building abilities. Proficiency in medical billing and coding practices. Knowledge of healthcare regulations and compliance. Excellent communication, interpersonal, and problem-solving skills. Proficiency with EHR and practice management software. Ability to identify growth potential and execute a growth plan.
